From Locations to Assets: FlexiFlow Makes Processes Even More Precise

Companies often organize their processes around locations, buildings, or areas. While this approach provides a solid foundation, it can quickly reach its limits when processes, documentation, or responsibilities need to be assigned to a specific object or person.

Create workflows for all objects, devices, and people in a company.
More precise representation of corporate reality by extending locations to include business objects or individuals.

More Transparency, More Structure, and a More Accurate Representation of Your Business in Your Workflows

With the latest FlexiFlow release, we are therefore expanding our organizational model to include Assets.

This means that workflows can now be linked not only to Locations, but also directly to individual business objects or people. This provides a much more accurate representation of your organization and creates new opportunities for digital process management.

What Are Assets in FlexiFlow?

Assets represent specific objects or people within your organization.

Typical examples include:

  • Machines
  • Production facilities
  • Equipment and tools
  • Vehicles
  • Workstations
  • IT systems
  • External service providers
  • Employees and responsible persons (Asset Person)

Assets can be used wherever processes are directly linked to a specific object or person.

The Limitations of a Location-Only Structure

Locations remain a central component of FlexiFlow.

They can be used to represent sites, buildings, plants, or organizational areas.

However, many processes are not related to a location, but to a specific object:

  • Maintenance relates to a specific machine
  • An inspection relates to a specific piece of equipment
  • An approval relates to a specific vehicle
  • Training relates to a specific person

If such information is managed exclusively at location level, this often results in information gaps and unnecessary complexity.

Assets therefore provide an additional level that links processes directly to where they actually take place.

Asset Workflows: Processes Linked Directly to the Object

The new Asset structure allows workflows to be assigned precisely to the object concerned.

Maintenance

A production machine is created as an Asset. Maintenance activities, faults, repairs, and service reports are documented directly for this machine.

Benefits:

  • Complete equipment history
  • Quick access to documents
  • Transparent responsibilities
  • Traceable maintenance processes

Quality Management

Inspections and audits can be assigned directly to a piece of test equipment or a production facility.

This provides:

  • Clear documentation trails
  • Improved traceability
  • Greater compliance assurance

Fleet Management

Vehicles are managed as Assets.

The following activities can be performed directly for the vehicle:

  • Driving licence checks
  • Maintenance
  • Damage reports
  • Approvals

Highlight

The “Person” Asset

A particularly exciting addition is the new Asset Person. Employees, external service providers, safety officers, and other people involved in processes can now be represented as individual Assets within FlexiFlow. This opens up entirely new use cases.

Examples of Person Assets:

Training and Instruction

Training and instruction can be assigned directly to a person and documented accordingly.

  • Training records
  • Refresher dates
  • Certificates
  • Responsibilities

All information is managed centrally in one place.

Onboarding Processes

New employees often need to complete numerous steps and approval processes.

With the Asset Person, all tasks can be documented directly for the respective employee:

  • Provide a workstation
  • Set up system access
  • Conduct training
  • Manage documents
Qualifications and Documentation

Certificates, qualifications, and supporting documents can also be linked directly to a person.

This makes it possible to track at any time:

  • Which qualifications are available
  • When certificates or supporting documents expire
  • Which actions are required

Higher Data Quality, Better Reporting

The key advantage of Asset-based modelling lies in the accuracy of the data.

Instead of assigning information only to a location, it is stored exactly where it belongs.

This enables:

  • Higher data quality
  • Greater transparency
  • Object-specific and person-specific histories
  • More precise reporting and analysis
  • Clear responsibilities
  • Faster access to information

FlexiFlow Grows with Your Requirements

The introduction of Assets marks an important step in the continued development of FlexiFlow.

Companies can now manage their processes not only by location, but also by specific object or person. This creates much more accurate process models, supports better-informed decisions, and strengthens the connection between operational activities and digital workflow management.

Whether it is a machine, vehicle, workstation, or employee, FlexiFlow uses Assets to map processes exactly where they take place.
